Administration Officer

Salary: $77,112 + Super

ABOUT THE ROLE 

The Administration Officer’s primary objective is to provide efficient and effective administrative support to the organisation. The role is pivotal in ensuring smooth operations by handling various administrative tasks and assisting different branches as needed.   

The incumbent will contribute to the overall productivity and success of the organisation by managing administrative functions accurately and professionally. 

Reporting to the Operations Lead, the Administration Officer is accountable for: 

  • General administrative support: Provide day-to-day administrative support such as answering phones, managing emails, handling correspondence and maintaining office supplies.  
  • Secretarial support for meetings and events: Providing logistical support for internal and external meetings and forums, including invitations, travel and catering arrangements, meeting agendas, minutes, reports and other business correspondence and documentation including managing records, monitoring deadlines and follow-up responses.   
  • Data entry and record-keeping: Accurately input and maintain data in various systems and databases.  Ensure that records are organised and easily accessible for reference and reporting purposes. 
  • Scheduling and coordination: Assist in scheduling appointments, meetings and travel arrangements for internal and external stakeholders to ensure smooth scheduling.  
  • Document preparation and formatting: Prepare and format documents, presentations and reports as required. Ensure documents are error-free, well organised and comply with organisational standards. 
  • Working within a high performing team to ensure effective customer service and partnerships with stakeholders.  
  • Actively participate in staff development and continuous quality improvement activities.  
  • Representing the knowledgeable, effective and professional image of NT PHN in line with organisational values and behaviors. 

ESSENTAIL SKILLS 

  • Strong administrative and coordination skills with the ability to manage multiple tasks across different programs. 
  • Experience in remote travel bookings, contract administration, and basic financial processing. 
  • Confident and positive engagement skills with the ability to maintain relationships and ensure cultural sensitivity when working with internal and external stakeholders.  
  • Customer service oriented ensuring timely response to enquiries and ability to escalate complex issues to appropriate team members. 
  • Accuracy and strong attention to detail when using IT systems. 
  • Experience with the Microsoft environment including SharePoint, Outlook, Word and Excel. 
  • Willingness to learn and adapt to new systems and procedures.
